Define Roles
Build the access structure that matches how your business actually works
Assign Team Members
Each person's workspace is configured the moment you assign their role
Team Works from Their Portal
Every team member sees exactly their workspace — nothing more, nothing less
A purpose-built workspace
for every role in your business
The Employee Portal gives every team member a structured, focused workspace — built around what their role actually does. Managers define which modules, tabs, and features each role can access, and enforce those boundaries at the system level, not just the interface. From time tracking and task management to order processing and internal messaging, every capability is gated by the role you define. Included in CoreXBiz Platform · Available for WooCommerce
The CoreXBiz Employee Portal is not a generic staff login page. It is a purpose-built operational workspace where every feature, tab, and module is gated by a custom role you define — so each team member sees exactly what they need to do their job, and nothing they don't need to see.
Built for How Your Team Actually Works
From access control and time tracking to order management and internal communications — every feature below is confirmed working and available now.
Role-based access, built for real operations
Create custom roles that define exactly what each team member can see and do across every CoreXBiz module. Permissions are applied at the feature level — not just which page a user can visit.
- • Define custom roles (Executive, Manager, Production Staff, Sales Rep, and more)
- • Set capability permissions per role — control individual features, not just pages
- • Assign team members to one or more roles
- • Menu visibility and tab access controlled by role assignment
- • Administrators always have full access; custom roles are additive from zero
- • Changes take effect immediately — no page reload required
Time tracking with real shift data
Team members clock in and out from their portal. Shifts are tracked with break deductions, overtime calculation, and per-employee history — all stored in a dedicated attendance system, not a spreadsheet.
- • One-click clock in and clock out from the Time Tracking tab
- • Separate break time and meal break tracking (including legally required meal breaks)
- • Automatic regular-hours and overtime calculation per shift
- • Full shift history with filterable date ranges
- • Managers can view all team members' shifts, not just their own
- • Shift status tracking: pending, completed, approved, rejected
Assign tasks, track progress, close the loop
Create and assign tasks to any team member — linked to customers, orders, or as standalone work items. View active tasks in a kanban board or list view. For complex processes, a structured multi-step approval workflow moves tasks through defined stages with role-specific permissions at each step.
- • Create tasks with title, description, type, priority, and due date
- • Assign tasks to any team member or group
- • Link tasks to specific orders or customers
- • Kanban board view and filterable list view
- • Full task audit log tracks every status change and who made it
- • Multi-step approval workflow: submit → assign → review → approve → complete, with role-based permission gates at each step
Process orders without full admin access
Give production staff, sales reps, and operations teams a structured order management workspace — without handing out admin credentials. Products can define workflow stages; team members advance items through each production step, with automatic role-based re-assignment at each stage.
- • View and filter the full order list by status, customer, or date
- • Drill into individual orders with full line item detail
- • Add internal notes or customer-facing notes to any order
- • Log work against specific order line items
- • Products define workflow stages; team members advance items step-by-step through production
- • Role-based access per team member — view_sales, manage_sales capabilities
Threaded team messaging built into the platform
CoreX Talk is the built-in messaging system that keeps team conversations connected to the work — not scattered across third-party apps. Start threads, reply, and close conversations without leaving the portal.
- • Private threads between individual team members
- • Public team threads visible to all (admin-created)
- • Threaded conversations with full message history
- • Tie threads to specific order items or projects
- • Track participants, unread status, and last activity per thread
- • Managers can create broadcast announcements via public threads
Create estimates and invoices without switching tools
Sales reps and managers can build multi-option estimates and send invoices directly from the Employee Portal. Estimates support multiple pricing options per job — clients choose the option that works for them.
- • Create and manage estimates with multiple pricing options per estimate
- • Filter estimates by status: draft, sent, approved, declined, expired, converted
- • Create and update invoices without leaving the portal
- • Send invoices by email directly from the system
- • Generate invoice PDFs
- • Check estimate and invoice numbers for uniqueness before sending

How Teams Use the Employee Portal
Every use case is a real workflow — not an abstract description of what software can do.
Print shop with production staff
A print shop owner has 6 production staff on the floor. Each staff member logs in to the Employee Portal, clocks in at the start of their shift, views only the orders assigned to their queue, and logs work against each order line item as they complete it. The owner sees all shifts, all order progress, and total hours per employee — without giving anyone WordPress admin access.
Wholesale manufacturer with a sales team
A manufacturer's 4-person sales team uses the Sales Desk to track recent orders and top products, creates estimates with multiple pricing tiers for each client, and sends invoices directly from the portal. The sales manager has a role that includes order management and invoicing; production staff have a role that includes only order viewing and task management.
Service business with field staff and office managers
A service business uses the task system to assign jobs to field technicians. Office managers create tasks linked to customer records, set due dates and priorities, and track completion. Field staff mark tasks done from their portal. No one needs to touch the main admin panel.
Custom-work business with mixed team roles
A 15-person custom-work shop has designers, production staff, a bookkeeper, and two sales reps. Each role has a different set of module capabilities. Designers see tasks and order management; the bookkeeper sees invoicing and estimates; sales reps see estimates and the sales dashboard. All controlled from the Team Access tab without modifying WordPress roles.
Operations manager tracking team hours
An operations manager needs weekly hour summaries for payroll processing. The Time Tracking tab shows all staff shifts for any date range. The manager reviews pending shifts, approves completed ones, and exports the date range for the payroll period. No third-party time tracking app required.
Small business owner adding their first team member
A solo business owner is adding their first employee. They create a sales_rep role with access to customer management, estimates, and order viewing. They set up the team member's profile with employment details, assign the role, and the new hire logs into a workspace that shows only what they need — not the full admin panel.
How It Works
Three steps from initial setup to a fully operational team workspace.
Define your roles
Create custom roles that match how your business actually works — Sales Rep, Production Staff, Finance Manager, or any role you need. For each role, set which modules, tabs, and features that role can access. One settings screen. No code.
Add team members and assign roles
Add team members to the system and assign each person to a role. Their Employee Portal workspace is automatically configured — they see exactly what their role allows and nothing more. Profile fields, profile photos, and contact details are stored per team member.
Your team works from their own portal
Each team member logs in to a purpose-built workspace. They clock in and out, manage their tasks, process orders assigned to them, send messages to colleagues, and submit time-off requests — all within the bounds of their role. You see everything from the management view.
