What is still being built: dedicated contact records persisted in the database, follow-up flags on threads, and structured email-to-customer-record linking. The honest description today is: a smart shared email workspace with real CRM-adjacent behaviors, growing toward a full light operational CRM.

No. CoreXBiz Email is built on email — the communication medium your team already uses. You connect your existing mailboxes (IMAP or Gmail), and the system organizes what comes in automatically. The learning curve is intentionally low: there's no new workflow to adopt, no CRM data model to understand, no schema to configure. You work from email as you always have, but with business structure already applied.

Most teams are connected and syncing within minutes. Add your IMAP or Gmail accounts, and CoreXBiz begins syncing immediately. Default business categories are ready on day one — you can customize them or add keyword rules, but neither is required to get value immediately.

Minimal. The interface is email — familiar to everyone. The main new concept is working from category tabs instead of individual inboxes. Most teams adapt within an hour. There's no data model to learn, no record types to configure, and no pipeline stages to manage.

IMAP (any provider — Gmail, Outlook, Zoho, Fastmail, custom mail servers) and Gmail via OAuth (direct Google API connection). Microsoft Graph / Outlook via API is on the roadmap.

Every 10 minutes via an automatic background sync. If you need immediate updates, there's a manual Refresh button in the inbox. For Gmail, real-time push notifications (reducing sync latency to seconds) are on the roadmap.

Yes. Connect as many IMAP or Gmail accounts as your business needs. All connected mailboxes appear in one unified inbox, and emails from all addresses are categorized in the same system. Each mailbox syncs independently on its own schedule.

Yes. If you delete or move an email in Gmail or your IMAP client outside of CoreXBiz, the change is detected and reflected in CoreXBiz within the next sync cycle. Emails deleted externally appear in your Trash folder within the app.

Three confirmed things: (1) Categorization — every incoming email is automatically categorized by business function with a confidence score. High-confidence assignments are applied automatically; lower-confidence ones are flagged for human review. (2) Draft generation — click the AI button on any email to get a contextual reply draft with subject, tone, priority, and suggested next steps. (3) Thread briefings — request an AI summary of any email thread on demand.

OpenAI is the current AI provider — already integrated and available. Your team configures the API key in the AI Settings tab. Expanded provider configurability and per-mailbox pipeline selection are on the roadmap.

AI categorization runs automatically in the background after every sync — no action needed. AI draft generation is on-demand: you click the AI button when you want a draft suggestion. AI never sends email on your behalf.

No. Human-assigned categories are always preserved. Once a team member sets a category on an email, AI will not overwrite it. This is enforced at the data layer — not just a UI rule.

Your team can always reassign the category manually. The AI confidence band system is designed for this: emails below the confidence threshold are flagged for human review rather than auto-assigned. Keyword rules you define always take precedence over low-confidence AI assignments.

All emails from connected mailboxes are visible to team members with appropriate access. The unified inbox is a shared workspace, not individual inboxes side by side. Category tabs let each team member focus on what's relevant to their role — but anyone with access can see the full picture.

CoreXBiz Email uses the CoreXBiz capability system. The cbz_view_mail capability controls who can read email, and cbz_manage_mail controls who can manage mailboxes and settings. These align with roles you configure in the CoreXBiz Employee Portal.

It is part of the CoreXBiz platform. You access it through the CoreXBiz admin interface — the same system that manages your orders, pricing, and workflows. There's no separate subscription or separate login.

CoreXBiz currently runs through WooCommerce. The Email module itself connects to your mail server, not to WooCommerce directly — but the CoreXBiz platform is currently deployed as a WooCommerce integration. Platform-agnostic deployment is on the roadmap.
